Core Responsibilities
- Calendar & Schedule Management
- Organize and prioritize executive’s daily agenda.
- Coordinate meetings, appointments, and events.
- Manage travel schedules and itineraries.
- Communication Management
- Act as the gatekeeper for emails, calls, and messages.
- Draft, proofread, and manage correspondence.
- Liaise with internal teams, clients, and external stakeholders.
- Administrative Support
- Prepare reports, presentations, and documents.
- Manage expense reports, budgets, and reimbursements.
- Handle filing systems (digital and physical).
- Meeting Coordination
- Schedule, prepare agendas, and take minutes.
- Ensure executives are well-prepared with background materials.
- Follow up on action items
Strategic & Operational Support
- Project Assistance
- Support executive-led projects.
- Conduct research and compile data for decision-making.
- Track deadlines and deliverables.
- Decision Support
- Filter information and highlight priorities.
- Provide recommendations where appropriate.
- Maintain confidentiality on sensitive matters.
- Relationship Management
- Build strong relationships with key contacts.
- Represent the executive in communications or meetings as needed.
- Maintain a professional image on behalf of the executive
Leadership & Coordination
- Team Liaison
- Act as a bridge between the executive and team members.
- Support coordination across departments.
- Monitor workflows and escalate issues.
