About the Role
We are seeking a highly organized, detail-oriented HR & Payroll Administrator to manage day-to-day HR operations, payroll processing, and benefits administration.
This role is ideal for someone who thrives in a structured environment, values accuracy, and enjoys supporting employees throughout their lifecycle — from onboarding to offboarding.
The HR & Payroll Administrator will play a key role in maintaining compliance, managing employee records, processing payroll and benefits, and serving as the primary contact for HR-related inquiries.
Key Responsibilities
Employee Relations & Support
- Act as the first point of contact for employee inquiries regarding company policies, payroll, and benefits.
- Provide clear guidance and ensure consistent communication on HR-related topics.
Address personnel and compliance issues promptly and professionally, maintaining confidentiality at all times.
Recruitment, Onboarding & Offboarding
- Draft, post, and manage job descriptions across approved channels.
- Screen candidates, schedule interviews, and coordinate communication with hiring managers.
- Facilitate administrative onboarding, including benefits explanations and employee system setup.
- Manage offboarding procedures, ensuring exit documentation is completed and company assets are collected.
Personnel File Management
- Maintain accurate, up-to-date personnel files in compliance with labor and data protection laws.
- Safeguard confidential employee records and ensure proper document retention.
Policy & Compliance Administration
- Maintain and update the employee handbook annually to reflect current policies and legal requirements.
- Ensure all mandatory employment posters and compliance notices are current and displayed.
- Support HR audits and internal reporting as required.
Benefits Administration
- Coordinate 401(k) plan documentation, enrollment, and employer matching compliance.
Collaborate with third-party administrators for annual testing, Form 5500 filings, and regulatory reporting. - Administer ICHRA benefits, including eligibility verification, reimbursements, and employee support.
- Handle PCOR, 1094/1095B reporting, and related filings.
Payroll Management
- Process weekly payroll accurately and on time, including commissions, deductions, benefits, and reimbursements.
- Reconcile payroll data and ensure compliance with applicable wage and tax regulations.
- Maintain payroll and personnel records for audit readiness.
Attendance & Leave Management
- Track employee attendance, vacation, and time-off requests.
- Ensure compliance with company leave policies and applicable labor laws.
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, Finance, or related field.
- 3+ years of experience in HR, payroll, or benefits administration (multi-state experience preferred).
- Strong understanding of U.S. employment laws, benefits, and payroll compliance.
- Experience with HRIS and payroll systems (e.g., ADP, Paychex, Gusto, or similar).
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Exceptional organizational and multitasking skills.
Preferred Skills
- Experience managing ICHRA or 401(k) programs.
- Knowledge of HR best practices and state-specific compliance.
Strong Excel and data management skills. - Previous experience working in a remote or hybrid environment.
